The CRL Document Controller will be a vital asset to the City Rail Link (CRL) project, providing essential administrative support. This position is crucial in promoting seamless operations and enhancing communication among project teams. You will take on an essential role in managing documentation, coordinating schedules, and assisting with a variety of project management tasks. We are looking for someone to start as soon as possible on a full-time, fixed-term basis through to 31 March 2026.

The role will be predominantly based in our Queen Street Depot in the city; other locations of work will include the Link Alliance office in Newmarket, our operations centre in Ellerslie and the CRL stations as required.

Key Responsibilities:

  • Manage project documentation, ensuring accessibility and up-to-date records.
  • Maintain version control and document archiving.
  • Coordinate meetings by setting agendas, booking venues, and preparing materials.
  • Manage project team schedules, travel, and accommodations.
  • Assist in creating reports, presentations, and correspondence, ensuring professional formatting for distribution.
  • Handle inquiries from stakeholders and facilitate communication within project teams.
  • Support recruitment activities, including interviews, pre-employment checks and onboarding.
  • Provide general administrative assistance and perform tasks like ordering supplies, managing invoices, and organising events.

  • Previous experience in document management systems administration role.
  • Demonstrated capability to develop and implement safety management systems.
  • Previous experience in supporting team functions.
  • Proven experience in an administrative support role, ideally within a project environment.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Experience with document management systems is an advantage.
  • The right to work in New Zealand.
